French Legal Professionals in London (“FLPL”) has prepared this Privacy Notice (“Notice”) for the FLPL team, members, guests, and website users (“you”). Our team takes your privacy seriously and are committed to safeguarding your personal data. This Notice explains how FLPL collects, processes, stores, and uses your personal data, as well as your rights in relation to that data.

FLPL is the data controller in relation to the personal data it processes, subject to Third Party Links at section 4 below.

1. What categories of personal data does FLPL process?

FLPL may process the following types of personal data:

  • Identification data: such as name, membership status

  • Contact details: such as email address, postal address, telephone number

  • Employment details: such as place of work/study, job title, type of law firm, practice area

  • Education details: such as degree and place of study

  • Membership data: any additional data collected for membership purposes

  • Dietary information: such as food preferences or dietary restrictions (e.g., for event catering)

  • Photographs: taken at FLPL events

FLPL may also process sensitive personal data (such as racial or ethnic origin, health data, sexual orientation, and/or social mobility information). You will be notified separately and asked for your consent before processing such sensitive data.

If FLPL collects biometric data (e.g., photographs), FLPL will inform you accordingly and request your consent where necessary

 

2. Why does FLPL need to collect, process, and use my personal data?

FLPL processes personal data for the following purposes:

  • To send regular emails to its members and those interested in FLPL’s activities

  • To invite you to events and activities when you subscribe to our mailing list or attend a related event

  • To create guest lists for events FLPL hosts and you register for

  • To communicate and interact with you via email and social media

  • To promote FLPL events and our sponsors

FLPL relies on the following lawful bases for processing your personal data:

  • Fulfilment of a contract: e.g., for event registration and member communications

  • Legitimate interest: e.g., to facilitate events and keep you informed about FLPL activities

  • Consent: when processing sensitive data or when required for specific activities (e.g., photographing events)

If you do not want your photo to be taken at any FLPL event, please inform us prior to attending and notify the photographer at the event.

For sensitive personal data (such as health, racial origin, or sexual orientation), FLPL will obtain explicit consent from you before processing such information. You are not obliged to provide such data, and refusal will not impact your participation in FLPL activities.

 

3. Who might FLPL share my personal data with?

FLPL will share personal data internally within the FLPL team, which consists of legal professionals from both in-house and private practice, all of whom are committed to maintaining confidentiality.

FLPL may share your personal data with third-party data processors (e.g., event management platforms, email marketing services, official FLPL partners) who process data on FLPL's behalf. These third parties are contractually required to safeguard your data and use it only for the purposes for which FLPL has authorised.

Social networking: FLPL offers the opportunity to share information about FLPL, our events and our Website using a “share” functionality.  The purpose is to generate interest in FLPL and its activities among the members of social networks and to allow sharing opinions.  Sharing either personal or non-personal data with a social network may result in that information being collected by the social network hosting company or may result in that information being made public.  It is recommended to always read the privacy policy of any social network through which the information is shared in order to understand their specific privacy and information usage practices.

Service providers and official FLPL partners: FLPL employs and works with other companies and individuals to perform certain services and functions on its behalf.  These include organising events, registering members or users for seminars or events, sending postal mail and e-mail, member list management, data analysis, distributing member surveys, authorising and processing payments, and providing member service.  These service providers will have access only to the personal data they need to perform their specific services or functions, and may not use it for any other purposes.  FLPL will at all times require those service providers to process  your personal data only in accordance with this privacy policy and that they implement appropriate technical and organisational security measures to protect personal data against unauthorised or unlawful processing and against accidental loss, damage or destruction. FLPL uses a secure website.

For your protection and FLPL: FLPL may release personal data when FLPL believe it is necessary to comply with applicable law, regulation, court order, or governmental request; to enforce or apply our Terms and Conditions; or to protect the rights, property, or safety of FLPL, directors, its members or employees.

 

Sharing: It is FLPL policy not to share personal data with third parties outside of the affiliated sections of FLPL, for marketing purposes.

 

4. Third-Party Links

FLPL may provide links to third-party websites for your convenience and information. These sites are operated independently and are not under FLPL's control. FLPL is not responsible for their content or privacy practices.

Please review the privacy policies of any external sites you visit through links on our website. FLPL is not responsible for the processing of your personal data by these third-party websites, as they operate as independent data controllers.

5. Security

FLPL takes its obligations seriously and implements appropriate administrative, technical, and physical safeguards to protect your personal data against unauthorised access, loss, misuse, or disclosure. Our team continually reviews and updates our security measures to ensure your data is protected. Access to personal data is restricted to authorised personnel only.

6. How long will FLPL keep my personal data?

FLPL will retain your personal data for no longer than necessary for the purposes set out in this Notice. As a general rule, personal data will be kept for up to seven years, unless a shorter retention period is applicable (e.g., if you request your data to be deleted earlier). 

In some cases, FLPL may retain personal data for longer periods if required by law or if necessary to meet contractual obligations.

 

7. What rights do I have in respect of my personal data?

You have the following rights regarding your personal data:

  • Access: You can request a copy of the personal data FLPL holds about you.

  • Rectification: You can request corrections to any inaccurate or incomplete personal data.

  • Erasure: You can request the deletion of your personal data, subject to legal or contractual limitations.

  • Restriction: You can request a restriction on the processing of your personal data in certain circumstances.

  • Portability: You can request that your personal data be transferred to another data controller, where applicable.

  • Objection: You can object to the processing of your personal data for specific purposes (e.g., marketing).

If you are not satisfied with FLPL's response, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) or the relevant data protection authority in your jurisdiction.

 

8. Cookies Policy

8.1. What are cookies? 

Cookies are small text files which are sent to a user’s computer (PC) or mobile phone from a website and are stored on the hard drive of the user’s device. When returning to that website another day, the website can read these cookies and in effect, recognise you.   • Renewal or cancellation of membership

The information we collect using analytics cookies is anonymous and does not involve collecting the name or address of any user. The analytics cookies that we use only operate through our Website so that the data they collect is not shared with anyone else.

 

8.3. How to disable and manage cookies

Internet browsers allow users to manage their cookies and to set their devices to accept or deny cookies. Please note that if you prevent the use of cookies using some specific systems, you will no longer be included in any tracking data from those tools across all sites (not only FLPL Website).

However, FLPL believes that it does not need your consent to use the cookies which we have identified as those “strictly necessary” to enable FLPL to provide you with any service.

Any changes will be posted on this page, and FLPL encourages you to review this Notice periodically to stay informed about how FLPL processes your personal data.
